About the Employer
Helderberg Personnel cc is recruiting on behalf of an elite financial services and investment firm based in Faerie Glen, Pretoria. They are seeking a professional Secretary / Administrator to provide vital support to Financial Advisors and ensure smooth office operations.
Key Responsibilities
You will be a central support figure, handling both secretarial and administrative duties that directly impact client service and compliance.
Manage secretarial tasks: scheduling meetings, general office administration, drafting correspondence.
Assist Financial Advisors with client servicing: meeting preparation, application forms, follow-ups.
Process new business: check proposals, pre-populate documentation, submit forms to service providers.
Handle client transactions and portfolio updates, drawing statements and preparing investment summaries.
Support compliance requirements (FAIS, FICA, and other regulatory obligations).
Prepare presentations and review documentation for client meetings.
Maintain filing systems (hardcopy & electronic), ensuring accuracy and confidentiality.
Act as the first point of contact for client queries, both in person and telephonically.
Perform general office duties: filing, scanning, printing, ordering stationery.
Minimum Requirements
Grade 12 (Matric) – Essential.
5+ years’ experience in a financial advisory practice – Advantageous.
Post-matric qualification – Advantageous.
Excellent written and verbal skills in both Afrikaans and English – Essential.
Strong computer proficiency (MS Office, data capturing, spreadsheets).
Own vehicle and valid driver’s licence – Essential.
Ability to multitask and perform under pressure.
