About the Employer

Helderberg Personnel cc is recruiting on behalf of an elite financial services and investment firm based in Faerie Glen, Pretoria. They are seeking a professional Secretary / Administrator to provide vital support to Financial Advisors and ensure smooth office operations.


Key Responsibilities

You will be a central support figure, handling both secretarial and administrative duties that directly impact client service and compliance.

  • Manage secretarial tasks: scheduling meetings, general office administration, drafting correspondence.

  • Assist Financial Advisors with client servicing: meeting preparation, application forms, follow-ups.

  • Process new business: check proposals, pre-populate documentation, submit forms to service providers.

  • Handle client transactions and portfolio updates, drawing statements and preparing investment summaries.

  • Support compliance requirements (FAIS, FICA, and other regulatory obligations).

  • Prepare presentations and review documentation for client meetings.

  • Maintain filing systems (hardcopy & electronic), ensuring accuracy and confidentiality.

  • Act as the first point of contact for client queries, both in person and telephonically.

  • Perform general office duties: filing, scanning, printing, ordering stationery.


Minimum Requirements

  • Grade 12 (Matric) – Essential.

  • 5+ years’ experience in a financial advisory practiceAdvantageous.

  • Post-matric qualification – Advantageous.

  • Excellent written and verbal skills in both Afrikaans and English – Essential.

  • Strong computer proficiency (MS Office, data capturing, spreadsheets).

  • Own vehicle and valid driver’s licence – Essential.

  • Ability to multitask and perform under pressure.
