    Employer: Tailormade Solution

    Our client is looking for an energetic professional Admin lady for their well-sought-after estate in Durban, Mount Edgecomb.

    DUTIES:

    • Take meeting minutes
    • Prepare agenda for the meetings
    • Arrange meetings - send invites
    • Attend sub-committee meetings as required
    • Typing letters
    • Office consumables stock control
    • Purchasing of office supplies and consumables
    • Database management - Honeycomb, Mailchimp, telephone list, contractors list –  will provide training
    • Liaising with residents/estate agents/service providers
    • Orientation with residents/tenants –  will train
    •  Verifying access documents and dealing with all queries regarding and arranging access
    •  Post box key roster and allocation
    • Mail sorting
    • Manage Community centre/tennis court bookings
    •  Switchboard control
    •  Update chalkboard notices
    • Send out general email newsletters, and notices on the app- will provide training
    • Tend to property website/email enquiries
    •  Reporting faults - printer, telephone, emails
    • Oversee lease renewals & reminders
    •  Filing of all hard copy office documents
    •  Provide support and backup for Estate Manager and Operations Manager when required
    • Verification of authorised invoices for weekly payments - GL coding and expense description
    • Preparation of weekly payment schedule
    • Requesting supplier statements for the month - creditors control
    • Debit card register
    • Petty cash disbursements and recon
    • Access card stock control & orders
    • Reconciling of Community centre refunds
    • Prepping of transfer requirements for consent and clearance –  will train
    • Debt collection - emailing reminders, SMS reminders, calling debtors
    • Maintenance of leave forms and balances
    • Assisting with auditor request for documentation

    Candidate Requirements

    • Hospitality/Property/Estate administration experience beneficial
    • Client service experience/front of house beneficial
    • Own vehicle and valid driver's license
    • Must have Engish as 1st language
    • Afrikaans beneficial
    • Confident and outgoing
    • Problem solver
    • Hours of work: 07:30 - 16:00 (Monday to Friday)
